Privacy Notice for Customers of Wells Place Centre
 
At Wells Place Centre (WPC) we are committed to protecting and respecting your privacy. Wells Place Centre is the trading name and a ministry of Eastleigh Baptist Church (EBC).This document (together with our terms of use and any other documents referred to on it) sets out the basis on which any personal information we collect from you, or that you provide to us, will be held and used by us. 
 
1.  Why do we need your information?
  • To respond to booking requests or queries made via our website or social media sites
  • To make provisional bookings and to confirm bookings
  • To create and manage invoices
  • To contact customers regarding any query or possible issue we have with a booking either before or after the booking
  • To ask customers for feedback on our service
  • To let customers know about promotions we are operating
 
2.   What kind of information might we hold?
  • Name
  • Postal address
  • Place of work
  • Telephone / mobile number(s)
  • Email address
  • IP address
  • Bank account details (if you are paying the invoice yourself)
  • Social media usernames and comments
We obtain this information from you when you contact us to enquire about our services, start accessing our social media sites or log onto our Guest WiFi.

3. What is our legal basis for holding your information?
We collect this information to enable us to enter into a contractual agreement with you in order to provide our services to you.  We hold IP addresses as part of our control of our Guest WiFi – terms and conditions of use can be read as part of the logging on process.   Social media usernames are part of the platform you have used to access information on us.
We will only contact you regarding any promotions we are running if you have given us consent to do this on our booking enquiry form.
 
4.  How will we store and share your personal information?
Your personal information will be treated as strictly confidential and is held centrally on EBC’s password protected server/devices or on a cloud-based system, e.g. ChurchSuite, with whom we have a data processing agreement and which processes information according to UK data protection law. 
Your personal information can be accessed by EBC staff and key volunteers, whose access is limited to the type of information that is relevant to their role.
 
 5.  For how long do we keep your personal information?
We keep your personal information as detailed in Section 8 of the appendix of our Data Retention Policy which can be accessed here. Currently for customers, we keep your details for six full financial years after the date that your invoice payment is received.
 
6.  Providing us with your personal information
We require your personal information as it is a contractual requirement before we can provide our services to you.
 
7.  Your rights and your personal information
Unless subject to an exemption under data protection law, you have the following rights:
  • The right to request a copy of the personal information which we hold about you;
  • The right to request that we correct any personal information if it is found to be inaccurate or out of date;
  • The right to request your personal information is erased where it is no longer necessary to retain such data;
  • The right, where there is a dispute in relation to the accuracy or processing of your personal information, to request a restriction is placed on further processing;
  • The right to withdraw your consent to us using your details to contact you regarding our current promotions;
  • The right to object to us contacting you regarding any current promotions.
 
8.  Transfer of Information Abroad
We use a number of cloud-based systems, including Jotform (data capture) and Expense Plus (finance records). Some of these organisations may process your data in the United States. The European Commission has made an adequacy decision with the U.S. to recognise that they provide a level of data protection which is essentially equivalent to the U.K.’s. It is on this basis that we are able to safely share your information with those organisations.
 
9. Automated Decision Making
We do not use any form of automated decision making within WPC.

For all data matters including complaints, please contact the Data Protection Trustee or Data Protection Leads at [email protected] or by calling 023 8061 3210.  If this does not resolve your complaint to your satisfaction, you have the right to lodge a complaint with the Information Commissioner’s Office by calling 0303 123 1113 or via their website https://ico.org.uk/make-a-complaint/ or by writing to the Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF, England.
